Chapter 8 – How to Customize GitScrum Tasks

You have the freedom to work with GitScrum by just adding your tasks on your GitScrum Board and moving them to done. Nevertheless, in this Chapter, you will see there are many possibilities more, to make your teamwork more efficient, communicate clearly with your team and organize your tasks while your workload increases, so it becomes easier to find tasks when you look for them in your projects. Besides, when you create and assign a task, you have the features to create specific requirements and include the right fields in it, guiding accomplishments.

GitScrum Task Type

Create GitScrum Task Types by names and colors, so your collaborators can immediately identify them. In Chapter 7, we have seen how to create and edit Task Type Labels directly on the GitScrum Board. Now, see below, how you can choose to create Task Types from your Workspace, or use Task Type templates from GitScrum gallery:

How to Create a Task Type Template:
  1. Go to Workspace Settings > Task Types.
  2. Click the (+) icon and “Create a Template”.
  3. Fill in the template description and Add Task Types with code and name. Use the squares to switch task colors.
  4. Add all task types you need.
    Notice you can check (✓) to make this template standard for all projects, and/or to share it with the world on the GitScrum gallery.

How to Import and Apply a Task Type Template from GitScrum Gallery:
  1. Click the Diamond icon on the header bar.
  2. Click Task Types.
  3. Choose the Task Type Template you want to copy, according to your profession and projects’ needs.
  4. Click the template > Click “Copy Template”.
  5. Click the GitScrum logo (or your custom brand) to return.
  6. Go to Workspace Settings > Workspace Template > Task Types.
  7. On the “Templates Available” tab, click the template you’ve just copied from gallery.
  8. Mark (✓) to make this template standard for all projects, if you want to.
  9. You can make changes on the imported template, deleting task types to the Trash can icon, editing their names, or adding extra Task Types on the “Create a new Task Type” field and pressing (+).

As we have seen in Chapter 7, these Task Types will be essential to optimize the works of all teams, while they sort their Tasks on the GitScrum Board.

GitScrum Form2Task

The Form2Task is a tool to create unique tools forms, especially to support the demands of your business. You customize the task form for collaborators with the task title and description fields:

How to Create a Form2Task:
  1. Go to Project Settings > Form2Task.
  2. Click “Go to Settings”.
  3. Customize the tasks’ fields below, by filling in the blanks:
    [Form2Task Title]
    [Ask a question, the answer will be the task title]
    [Ask a question, the answer will be the task description]
    If you wish to add custom fields, click “Go to manage Custom Fields”,
    add new fields by typing fields name and selecting their type (small text, long text, selectable, checkout),
    then return to this page.
  4. Click “Update Form2Task” > Go back Form2Task.

How to Create a Task from Form2Task
  1. Go to Project Settings > Form2Task.
  2. Click “See my Form2Task”.
  3. A new screen will open with your Task form.
  4. Fill in the Task fields (name, description), and confirm.

GitScrum Task Custom Fields

Task Custom fields are useful to help you create optimized Form2Tasks, including precise fields to ensure rich briefing and data collecting during the previous stages of the Task. They are time-savers and communicators.

How to Copy a GitScrum Task Custom Fields Template
  1. Click the Diamond icon on the header bar.
  2. Click “Task Custom Field”.
  3. Select the custom fields template you want to copy for your project.
  4. Click “Copy this template”.
  5. Click “See this template in your “Workspace”.

How to Edit a Task Custom Fields Template
  1. Go to Workspace Settings > Task Custom Fields.
  2. On the tab “Templates Available”, select the template(s) you’ve copied.
  3. There will be a list with the fields included in that Task Custom Fields template.
  4. You can edit the custom fields, adding new ones with the (+) icon, removing some with the trash can icon, and editing the existing ones. Use the squares to switch the fields’ colors.

GitScrum Task Checklist

GitScrum Task Checklist was made to help businesses optimize demands of their working areas, by preparing appropriate lists to resolve determined types of tasks.

How to Copy a Task Checklist from the GitScrum Gallery
  1. Click the Diamond icon, on the header bar.
  2. Click Task Checklist.
  3. Select the template you want to copy.
  4. Click “Copy this template”.
  5. Click “See template in your Workspace.”

How to Edit a Task Checklist in Your Workspace

After copying a Task Checklist template from the gallery, or creating one and saving it, you can make changes:

  1. Go to Workspace Settings > Workspace Template > Task Checklists.
  2. On the “Templates Available” tab, select the template you want to change.
  3. Change the items of the templates by renaming, including (+) or deleting them (trash can icon).

How to Apply a Checklist Template to a Task
  1. Go to GitScrum Board or List View, on the Sidebar.
  2. Open the Task, by clicking its name; or create a new Task on the GitScrum Board, as you learned in Chapter 7.
  3. On the “Checklists” tab, click “Use Checklist Template”.
  4. Select the template you want to use for the Task.

How to Create a Checklist Template Directly In a Task
  1. Open the Task, by clicking its name; or create a new Task on the GitScrum Board, as you learned in Chapter 7.
  2. On the “Checklists” tab, click “Add Checklist”.
  3. Select the template you want to use for the Task.
  4. Type the name of the checklist, click (+).
  5. Click “add checklist item” to add its items.
    Notice that if you create a Task Checklist directly in a Task, it will not be available in your Workspace Task Checklist templates. If you want to create templates to remain available there, go to Workspace Settings, as we’ve shown above.

GitScrum Task Effort and Task Effort Templates

GitScrum Task Effort works like estimation reference stories. While estimating effort, you assign a point value to each task. This feature allows intelligent effort-level management, revolutionizing the way you manage your tasks.
This feature has many applications, as helping you estimate the value of a task, monitoring and managing your workload, and integrating the point values with GitScrum gamification features later. For now, let’s learn how to attribute point values to Tasks:

  2. Go to Workspace Settings > Task Efforts.
  3. Select the template you want to use. Click “Copy template.”
  4. Click “See template in your Workspace”.

How to Edit a Task Effort Template in Your Workspace
  1. Go to Workspace Settings > Task Efforts.
  2. On the “Templates Available” tab, click the template you want to edit.
  3. Make changes to the template, by:
    – renaming efforts in their name fields;
    – removing efforts, click the trash can icon beside them;
    – valuing and adding (+) new items on the “Create a new Effort” line.
  4. Mark (✓) to make this template standard for all projects if you want to.

How to Create a Task Effort Template in Your Workspace
  1. Go to Workspace Settings > Task Efforts.
  2. Create a Template.
  3. Fill in the Task Effort template form, with a template name and description.
  4. Mark (✓) to make this Template standard for all projects if you want to.
  5. Mark (✓) to share this Template on GitScrum Marketplace.
  6. Add different level-efforts, with gradual point values, naming them and using the (+) button.
  7. Set one of these level-efforts to be the “default stage” by clicking this option (the most usual in your routine, for instance).

How to Apply Task Effort on a Task on GitScrum Board
  1. Open the Task you created, by clicking its name.
  2. After enabling your Task Effort template, you will see an effort level selectable field on the Task.
  3. Select the effort level for your Task.
  4. Close the Task (x).

How to Customize Tasks Adding Rich Content

As we previously mentioned in Chapter 7, you can make the instructions in your Tasks more specific and interesting by adding images, quotes, images and embedding videos, besides formatting the text with colors bullets, and text highlights.

How to Insert an Image in the Task Card
  1. Open the Task on GitScrum Board.
  2. Click the text editor box.
  3. Click the image icon ?️.
  4. Choose the image from your PC and click “open”.
How to Embed a Video URL in the Task Card
  1. Open the Task on GitScrum Board.
  2. Click the text editor box.
  3. Click the video icon?️.
  4. Enter the Youtube or Vimeo URL video in the “Embed Video” box.
  5. Click “Save”.
How to Create a Hyperlink in the Task Text
  1. Open the Task on GitScrum Board.
  2. Click the text editor box.
  3. Type your Task text.
  4. Select the word(s) you want to attribute a hyperlink from, with the cursor.
  5. Click the hyperlink icon?.
  6. Paste the target URL for the link on the “Enter Link” box;
  7. Click “Save”.
